How to build an activity schedule

  1. List the activities

    Write down everything that has to happen, without ordering it yet. One line per activity — big to small.

  2. Give each one an owner

    An activity with no owner doesn't move. Put the name after the first pipe: Activity | Owner.

  3. Estimate the duration in days

    Don't chase precision, chase order of magnitude. Adjusting a number is far easier than inventing one.

  4. Mark what runs in parallel

    Start the line with & and that activity kicks off alongside the previous one instead of waiting for it.

  5. Pick the start date

    Turn on 'working days only' if your team doesn't work weekends. The dates recompute themselves.

  6. Check the critical path

    The activities highlighted in green set the delivery date. If you need to speed something up, it's those.

Frequently asked questions

What is an activity schedule?

It's a project's activities placed on the calendar: what gets done, who does it, how long it takes, and in what order. It shows at a glance whether the delivery date is realistic and what depends on what.

Is it free? Do I need to sign up?

The tool is free and requires no signup: type, get your schedule, download it. You only need an account if you want Doku to follow up on it with reminders and progress.

How is this different from doing it in Excel?

In Excel you compute and recompute the dates yourself: if one activity slips a day, you move everything by hand. Here you change a duration and the whole schedule rearranges itself, critical path included.

What is the critical path?

It's the chain of activities that determines the delivery date. If a critical-path activity slips by a day, the whole project slips by a day; the ones off it have slack.

Can I run activities in parallel?

Yes. Start the line with & and that activity begins alongside the one above it. The next sequential activity waits for the whole group to finish.

Can I dictate it instead of typing?
